Staff categories
KT workforce is made up of three (3) categories of staff.

How to apply for a position:
Job vacancy: When a position becomes available, we advertise in the KT website (www.kilimotrust.org) and also in the print media.

Application for position: The applicants are then required to submit their details as requested in the advertisement to the Trusts recruiting partner (currently adept systems). The submission could be mail, by post or even hand as long as it is within the specified deadline.

Evaluation of the application: The application is then evaluated in terms of experience, education and skills. If your application is found suitable, you get shortlisted for an interview at a specified date and venue as is communicated by the short listing agent. Currently, the trust undertakes its interviews at the organization’s head quarters in Kampala Uganda. Interviewers: The interviews are conducted by a panel comprising the HR committee of the board of trustees and the recruiting agent. Selection notification: If selected you are notified via Email and phone a call. You are also given an opportunity to clarify any other issues as may be unclear.

Purpose of the Job
To reach most of smallholder farmers in the rice value chain in the SAGCOT area (Mbeya, Iringa, Morogoro, etc.) enabling them to increase yields, incomes, improve access to weather information, plot specific advise on cop management, insurance services and micro-financing

Specific Responsibilities
Project Planning
a) In liaison with the Program Team , develop detailed project activity work plans and budgets
b) Provide technical input in new project proposals Project Implementation
a) Using Drones collect information on the environment, weather condition, crop status via radar data and plot boundaries.
b) Disseminate information acquired from the satellite geodata on weather conditions, crop management, variable inputs, and availability of water for irrigation, market information, agriculture credit and insurance for value chain actors using various communication channels.
c) Develop knowledge products from the analysis of data collected for the value chain actors.
d) Use ICT to support decision making at farmer and agribusiness level
e) Implement project plans and track progress against key milestones and deliverables
f) Conduct regular field/site visits to manage, guide, review and evaluate project progress
g) Implement a system of compliance assessment to ensure adherence to project standards and requirements
h) Assist the Project Team to establish resource need and examine alternative implementation strategies/approaches/methodologies.

Project Finance and administration
a) Comply with project financial controls and all laid out operational procedures
b) Run basic administration activities of the office e.g. ensuring that there are sufficient supplies, the equipment is in good condition, the office is well maintained and clean, attending to guests, running errands, filing of key documentation including financial documents,

Project Monitoring & Evaluation
a) Implement monitoring and evaluation strategies and processes in liaison with the M & E Officer
b) Manage and ensure accurate data capturing and analysis
c) Prepare and review quarterly progress reports
Information and Communication
a) Introduce innovation in ICT to increase efficiency and productivity in the project
b) Establish, manage and maintain strategic relationships will all stakeholders and partners
c) Coordinate communications between Project Team and relevant stakeholders
d) Support the Project Team Leader in preparation of timely reports on project activities; consolidate findings and prepare reports
e) Prepare documentation of best practices including writing/editing articles, press releases, lessons learnt and other materials
f) Support in Preparation of training materials and manuals for use during project activities
g) Review data and information generated by the projects’ activities and produce knowledge products with quantifiable indicators.
h) Perform accurate data analysis and interpretation of results.

Technical Competence Requirements
a) Understanding of Geographical Information Systems
b) Experience in Agricultural Extension work and possess agri-business knowledge
c) Excellent ICT Skills
d) Expertise and experience in establishing and nurturing partnerships (Value chain expertise in the development of Partnerships with Small Holder Traders is essential for the achievement of project objectives and deliverables).
e) Experience in introduction of new technologies, approaches, models, resources and processes to ensure that value chain actors and smallholder farming communities when operationalize would lead to increased competitiveness;
f) Expertise in designing effective capacity building approaches for smallholder traders to increase volumes traded and ensure profitability;
g) Expertise in project execution especially donor-funded projects in the agri-business sector
h) Ability to effectively manage stakeholders and other value chain actors to effectively reach beneficial agreements at project outset and throughout the life of the project.
i) Ability to identify, document, track and control issues and implement change according to lessons learnt where necessary and make other decisions to ensure the project is on track
j) Ability to use standard project management tools and techniques to plan, schedule, track, correct and manage project performance against deliverables.
k) Ability to operate drones is an added advantage.

Problem Solving & Decision Making
a) Ability to analyze, define, evaluate alternatives, generate solutions and understand when to make decisions

Relationship / Interpersonal skills

Educational Qualifications and Experience Required
a) Master’s degree in any field of agriculture, or agricultural economics; development studies; business studies majoring in agribusiness with strong understanding of Information Technology.
b) A Bachelor’s degree in agriculture or field related to the work of the Project applied for
c) A minimum of five years of progressive project management
d) Good knowledge and experience in Agronomy is an added advantage
e) One year experience in Information Technology
f)Basic knowledge of piloting drones is an added advantage
g) Must be able to speak and write English and Kiswahili very well

Purpose of the Job
Develop and sustainably manage business linkages within the CHIPS Program
Specific Responsibilities
Project Planning
a) In liaison with the Program Team , develop detailed project activity work plans and budgets

a) Conduct Market research and establish viable markets for seed and ware Potatoes
b) Analyze the data collected from the Market Research and generate knowledge products and also prepare presentations on the findings of the Research.

d) To increase productivity, quality and volumes of Potatoes traded collectively and commercially.
e) Facilitate and ensure that smallholder traders are integrated into CHIPS business models.
f) Implement business models that enhance efficiency of sourcing for Potatoes and marketing through structured value chain linkages, improved technology and process management, and hence increased profitability;
g) Implement project plans and track progress against key milestones and deliverables
h) Conduct regular field/site visits to manage, guide, review and evaluate project progress

SUPPORT FINANCE STAFF III (ACCOUNTS ASSISTANT) (01) AT KILIMO TRUST

Job Title: Support Finance Staff III (Accounts Assistant) (01)
Job Grade: KT8

Purpose of the Job
To ensure accurate preparation of payments, maintenance of KT inventory and all the other records of the Trust.

Specific Responsibilities
a) Assembling and preliminary checking of payment requisitions/invoices and other documents.
b) Preparation of payment vouchers and cheques in accordance with the laid down procedures of the Trust.
c) Maintaining a record of cheques and bank transfers and undertake monthly bank reconciliations by 5th following end of each month.
d) Ensure that payments are dully acknowledged by all beneficiaries.
e) Maintain proper filing of all the relevant payment documents for ease of future reference.
f) Ensure that payment documents are properly stamped as PAID.
g) Receiving, assembling and preliminary checking of travel accountabilities and forwarding them for further checking and authorization within two (2) days of receipt.
h) Maintaining a file with copies of authorized travel advance requests by staff and other sponsored persons as well as corresponding accountability summaries.
i) Maintain the travel advance monitoring register to ensure advances are accounted for as per the set guidelines.
j) Maintaining a record in excel of daily spot exchange rates and sharing with the team every Friday.
k) Ensuring that all transactions made during the week are fully entered in the Accounting system by Friday of that week.
l) Maintaining and continuously updating the inventory register of the Trust
m) Maintain petty cash float and prepare petty cash requisitions and payments.
n) Serve as bank agent on all the bank accounts of the Trust.
o) Any other duties as may be assigned from time to time

Technical Competence Requirements
a) Hands on experience in the use of spreadsheet
b) Understanding the application generally accepted accounting principles and Financial Reporting Standards
c) Ability to Prepare financial statements & financial reports
d) Skills in Basic Accounting and bookkeeping
e) Ability to maintain strict confidentiality in performing the Finance duties
f) Be honest and trustworthy

Educational Qualifications and Experience Required
a) Part II qualification in professional accounting qualifications such as CPA or ACCA.
b) A graduate with a Bachelor’s degree in accounting, business, finance or other relevant discipline is an added advantage
c) A minimum of Two years experience doing accounting work

Purpose of the Job
To drive staff, deliver and pick correspondences in a professional manner, and provides assistance with various office duties when he/she is in the office.

Specific Responsibilities
Driving Responsibilities;
a) Perform all driving and transport duties for the Trust
b) Take key charge of the general conditions of the vehicle of the Trust e.g. Mechanical, and
Cleanliness, etc.
c) Ensure that the Office Vehicles have valid Insurance Licences and Parking Stickers. Administration ;
a) Supervise all repairs and maintenance of Office Premises.
b) Responsible for delivering and picking correspondences.
c) Manage all Utility related Issues (Water, Electricity).
d) Ensure that the store is Clean and Organised.
e) Orient all Security Guards and the Gardener and ensure that they deliver excellent service to Kilimo Trust.
f) During KT Events assist by ensuring that the venues are well organised.
g) Occasionally provide General Office Support by managing the Switch Board, Covering the Front
Desk and providing any other clerical Support.
h) Any other duties as may be assigned from time to time

Educational Qualifications and Experience Required
a) Holder of Certificate of Education or a relevant Certificate
b) Must have a valid class B and DM driving license with a clean record of 7 (seven) consecutive years without causing any accident.
c) 10 years of driving experience in a Corporate or Non-Governmental Organization
d) Must have good command of English language both spoken and written.
e) Ability to operate a Switch Board and other Office Equipment
f) Computer skills in Microsoft Excel and Word.
